Business process automation for teams that copy data between tools

If someone on your team spends part of every day moving information from one system to another, that work can usually be automated. We map how the work is done today, connect the systems you already pay for, and add checks and approvals so nothing goes out wrong. Most automations are live within two to four weeks.

Who it suits

A good fit if

  • Clinics and service companies where the front desk retypes the same details into two or three systems
  • Teams that rebuild the same report every Monday from spreadsheets
  • Owners who know follow-ups are slipping but can't hire someone just to chase them

Probably not a fit if

  • Processes that change every week. We'll suggest settling the process first
  • One-off data migrations. A script is cheaper than an automation

What we automate most often

  • Booking and reminders

Confirmations, WhatsApp reminders at set intervals, reschedule links that offer real open slots, and waitlist fills when someone cancels.

  • Lead capture and follow-up

Leads from Meta, Google Ads and your website land in the CRM as they arrive, get a first reply, and get chased on a schedule until someone answers.

  • Intake and documents

Forms that validate themselves, file into the right record and alert the right person. Anything unusual is flagged for a human instead of guessed.

  • Invoices and payments

Stripe or QuickBooks invoices with reminders before and after the due date, which stop the moment the payment lands.

  • Syncing systems

A change in one tool updates the others, with de-duplication and a log of every change so you can always see what happened.

  • Reports

Weekly and monthly numbers pulled from your tools and posted to Slack, email or a dashboard, without anyone assembling them.

From first call to live

  1. 01

    We watch the work

A 45-minute screen share with the person who does the task today. We write down every click, every system and every exception.

  2. 02

    We draw the workflow

You get a one-page diagram: the trigger, each step, where a person approves, and what happens when something fails. You sign off before we build.

  3. 03

We build it in your accounts

Workflows live in your n8n, Make or cloud account, not ours. We test with real data in a copy of your systems first.

  4. 04

We run it alongside your team

For the first week the automation and your team both do the work. We compare, fix the gaps, then switch the manual version off.

  5. 05

    We hand it over

You get the logins, a runbook and a handover call, so your own team or another studio can look after the workflows later.

n8n, Make and Zapier automation

We use whichever platform fits your data rules and budget. Zapier is quickest for simple, low-volume flows. Make is good value for visual multi-step scenarios. n8n is our default for anything with health or financial data, because it can be self-hosted, so the data never leaves infrastructure you control.

When a workflow outgrows all three (high volume, complex logic, strict latency) we write it as a small service in TypeScript and deploy it to your cloud.

What happens when something breaks

Every workflow retries failed steps, sends the failure to a named person, and keeps a log you can read. If an API changes or a token expires, you hear about it from the alert, not from a customer.

Common questions about automation

It depends on volume, data sensitivity and who will maintain it. Zapier suits simple flows, Make suits visual multi-step work, and n8n suits sensitive data because it can be self-hosted. We recommend one in the plan and explain why.
